Application Management System

Problem

BfE's recruitment and application management workflows were entirely manual, scattered across multiple tools with no central system. As the organisation scaled, this created operational bottlenecks for recruitment teams managing startup applications across multiple stages and stakeholders.

Role

UX designer, one of the first on the project, responsible for designing the application management module while helping establish design and research foundations for the team.

Approach

To understand the full operational complexity, I mapped system and information flows across four user roles before designing anything.

• Ran iterative sessions with recruitment teams to ensure workflows were accurately captured
• Designed a multi-role application management tool with distinct views and permissions per user type
• Built structured wireframes covering end-to-end workflows and edge cases
• Delivered final UI using a customised Material UI component library alongside a component library for developers

Outcome

• Replaced a fully manual, multi-tool workflow with a centralised internal system
• Marked the first step in materialising BfE's broader intranet vision
